In November 2018 the Board of Supervisors approved the Information Technology (IT) Master Plan. On November 16, 2021, during the presentation of the FY 2021-22 first quarter budget report, the Board adopted Resolution 21-178 approving project allocations of one-time Pacific Gas and Electric disaster settlement funds.
Summary of Request:
Initiative 86 of the IT Master Plan adopted in 2018, included recommendations to improve technology disaster recovery efforts. Information Technology staff with Facilities and Fleet staff provided the Board of Supervisors a presentation to identify recommended projects for use of one-time Pacific Gas and Electric (PG&E) disaster settlement funds. On November 16, 2021, the Board of Supervisors approved project allocations for one-time Pacific Gas and Electric (PG&E) disaster settlement funds including technology disaster recovery. Information Technology staff have explored cloud-based disaster recovery solutions to decrease recovery times, minimize exposure to system failures, and provide flexibility in disaster recovery.
VMware Cloud Disaster Recovery (VCDR) can be utilized to replicate critical workloads from on-premises environment to a secure cloud-based location. This ensures that even if primary site experiences downtime or becomes inaccessible, users can quickly failover to the replica VMs in the cloud with minimal disruption.
In an ongoing effort to maximize cost savings and staff resources, many government agencies share contracting efforts through cooperative purchasing. This procurement approach increases pricing competitiveness and lowers operating costs through volume purchasing. It is often more cost-effective to eliminate the cost and time spent on these administrative processes and purchase items and services through a cooperative purchasing program. VMware Purchasing Programs provide flexible and cost-effective ways to purchase VMware products and services. The Subscription Purchasing Program (SPP) allows customers a flexible way to acquire VMware subscription services in the form of Subscription Services Credits that are denominated and deposited as a Fund Balance in VMware transacting currencies which may then be redeemed for VMware subscription services as listed on the SPP Eligibility Matrix.
It is recommended the Board authorize the Chief Executive Officer or Designee to purchase SPP Credits from CDW Government Inc. (CDW-G) through a Sourcewell cooperative agreement for a three-year VCDR subscription in the amount of $267,000; and authorize the Chief Executive Officer or designee to execute any and all documents in relation to the transaction.
