Previous Board/Board Committee Actions:
On December 5, 2023, the County of Mendocino Standard Services Agreement (PA #24-35) was executed with VIP.
On July 23, 2024, the BOS approved Agreement 24-127 for VIP to provide hourly assistance for mutually agreed upon enhancements and provide services and staff on a time and materials basis to accomplish the following tasks: Project Management, New Record Types (5), Changes and Updates to Batch Scripts, Update Custom Fields, Script changes for the custom field changes, Changes to the Renewal Record Workflow Changes for AV (Back-office) Page Flow Changes for ACA (Public User), New Notifications for Treasurer-Tax Collector, New Payment Adapter Configuration, and the integration of a DocuSign Interface. These changes will help streamline Cannabis Cultivation Business Licensing, increased inter Departmental collaboration, and allow for an overall better public user experience.
Summary of Request:
The Cannabis Department went live with Accela licensing software on June 1, 2023. The attached scope of work, funded by the recent Local Jurisdiction Assistance Grant Program (“LJAGP”) amendment, will provide much needed enhancements and efficiencies to the already existing software. In addition to the enhancements and efficiencies, this agreement allows 150 hours in Monthly Maintenance and Support hours with VIP. This agreement will provide a single point of contact for general inquiries, provide subject matter expertise for the triage of issues and troubleshooting, management of Accela Support Issues, and any configuration updates to the software.
VIP is currently operating under BOS agreement 24-127. This amendment will alter the Definition of Services, including changes to the interface from DocuSign to GIS. Additionally, the payment terms will be altered with this amendment from Maintenance and Support to an Annual cost and from Time and Materials to a Fixed invoice. All other terms and conditions of Agreement 24-127 shall remain in full force and effect.
