Summary of Request:
On April 19, 2017 a Journal Entry request was sent to the Auditors office to move $31,419.90 from Sheriff’s Office Civil Account 2110-760198 to Sheriff’s Office Civil Revenue Account SO-826223. This Journal Entry moves the funds from the Civil Account to the Civil Revenue Account to finalize the purchase of the final vehicle for the 2016/17 fiscal year.
The Sheriff’s Office is also seeking approval for the Budget Transfer to move these funds from Sheriff’s Office Civil Fees Revenue Account SO-826223 in the amount of $31,419.90 to Sheriff’s Office Fixed Asset Equipment Account SO-864370 to allow the purchase of the final vehicle for the 2016/17 fiscal year.
Funds were transferred previously to the Sheriff’s Office Equipment/Fixed Asset account (SO-864370) to replace two patrol vehicles; however, before the purchase order could be finalized the funds were used to purchase other outfitting related equipment for vehicles.
The 2016/17 County Budget for the Sheriff’s Office included funding for a total of four patrol vehicles and one vehicle for the detective division for a total of five. During the year, two additional vehicles were involved in accidents and required replacement. On February 7, 2017, Risk Management presented a Board item for two replacement vehicles for the Sheriff’s Office which was approved by the Board. A budget transfer was approved and funds were transferred to cover the additional purchase of two replacement patrol vehicles. Throughout the year, various equipment-related items need to be replaced and purchases to outfit replacement cars take place; this year is no exception. The Sheriff’s Office is seeking approval of this budget transfer and fixed asset request to purchase the final patrol vehicle for Fiscal Year 2016/17.
Patrol deputies must have reliable and secure transportation in order to carry out their duties of keeping the law and protecting the citizens of the County. Rotating older vehicles and replacing with new ones allows the MCSO fleet to age appropriately and gives the deputies a reliable source of equipment in which to carry out their law enforcement duties.
Alternative Action/Motion:
Return to staff for alternate handling.
