AGENDA TITLE:
title
Approval of Retroactive First Amendment to Board of Supervisors (BOS) Agreement 21-014 with Brokaw Design in the Amount of $120,000.00 for Additional Design Service for the 911 Communications Equipment Facility for a New Agreement Total of $139,665, and Extend the Termination Date from December 31, 2022 to July 31, 2024
End

RECOMMENDED ACTION/MOTION:
recommendation
Approve retroactive first amendment to BOS Agreement 21-014 with Brokaw Design in the amount of $120,000.00 for additional design services for the 911 communications equipment facility for a new agreement total of $139,665 and extend the termination date from December 31, 2022 to July 31, 2024; and authorize Chair to sign same.
End

PREVIOUS BOARD/BOARD COMMITTEE ACTIONS:
Project was approved with initial design funding during fiscal year 2020-21 first quarter budget update; Approval of the original agreement with Brokaw Design on February 9, 2021; Approval of Community Development Block Grant (CDBG) grant application on December 7, 2021 and approval of the CDBG grant agreement and grant funds appropriations for the project on August 16, 2022.

SUMMARY OF REQUEST:
Project design for the 911 communications and data building to move public safety equipment out of the Probation basement began well before the project was fully funded through the CDBG Mitigation and Resiliency grant program. Design scope changes based on grant requirements and site conditions have increased the contract amount and final grant approval delayed issuance of bid documents requiring the additional contract time. County staff did not allow sufficient time to negotiate and execute the amendment prior to the contract expiration date.
